Office Manager
Non-Exempt, Part Time
10-15 Hours Per Week
Job Function:
The Office Manager assists the Executive Director with all phases of program management and acts as a front person for the office and in the community.
Essential Duties and Responsibilities:
- Handles general bookkeeping functions including accounts payables/receivables, processing rent, payroll, payroll taxes under the direction of the accountant, as well as assists with annual audit.
- Completes month-end/quarter-end reports; i.e. payroll tax forms, occupancy, resident move-out, resident tracking, outreach statistics, potential resident/referral sources.
- Familiar with Quickbooks Online
- Handles inquiries on Senior Home Sharing facilities and services and coordinates processing of applications residents when moving in/out, updates resident rosters, and processes security deposits
- Maintains Giftworks database and ensures proper acknowledgment of donors.
- Acts as Personnel Coordinator, maintaining employee files, obtaining Illinois State Police background checks, assisting in employee issues and hiring managers and assistant managers.
- Responds to calls from residents and house managers on maintenance and repairs needed and other problems.
- Handles purchasing for the office as approved by the Executive Director and repairs of office equipment.
- Assists the Executive Director in managing special functions such as open houses, conferences, workshops, and annual meetings and appeal letters.
- Manages the office in the absence of the Executive Director.
- Attends and records minutes of Senior Home Sharing Board of Directors meetings and other committee meetings as needed and sends announcements.
- Does typing, filing, and other secretarial functions, including updating, maintaining, and organizing office systems and flow.
- Assumes other duties as assigned.
Qualifications:
- High School Diploma or equivalent
- Business courses and/or previous office experience
- Computer skills
- Customer service skills

House Manager
Non-Exempt, Full Time
Monday – Friday 8 am to 6 pm
Naperville
Job Function:
The House Manager supervises the home, executes all aspects of the home’s dining program and provides a congenial atmosphere for residents.
Essential Duties and Responsibilities:
- Communicates with the administration on all matters pertaining to residents’ well-being.
- Communicates with the administration on all house matters including house budgets, expenses, and needs.
- Adheres to a medical emergency and non-medical emergency procedures and provides incident reports as outlined in the Handbook for House Managers.
- Maintains a complete record of all household expenses.
- Works with a registered dietician to plan a balanced diet and cooks/serves three nutritious and appealing meals a day.
- Purchases groceries based on sound, economical meal planning and transports groceries to residence locations.
- Provides opportunities for residents to plan and be involved in decisions about menus.
- Provides opportunities for and encourages the residents to share in daily/weekly tasks which shall be performed to maintain a clean and neat home.
- Performs housekeeping daily to maintain a high standard of order and cleanliness.
- Coordinates with residents and volunteers to provide opportunities for socializing and physical activities for the residents.
- Notifies the office staff when home maintenance and repairs are needed.
- If requested by residents, launders residents’ linens weekly and assists with linen replacements on bed when needed.
- Additional duties as assigned.
Qualifications:
- Prefer Associate’s or Bachelor’s degree in psychology, human services, home economics, gerontology, social work, related fields, or equivalent combination of personal skills developed through training and/or experience.
- Strong management and organizational skills.
- Enjoys working with independent seniors.
- Good homemaking and hospitality skills, especially in food preparation and service of meals.
- A sense of humor, patience, and sensitivity to the needs of the aging.
- Good physical and mental health.
- Able to lift at least 25 lbs. and walk up and down stairs carrying groceries or laundry.
- Practice good personal hygiene and health habits; e.g., thorough hand washing before handling food and after washroom visits.
